This Privacy Policy explains how Aijentix (“Aijentix”, “we”, “us” or “our”) collects, uses, stores and discloses personal information. It applies to our websites at aijentix.com.au, aijentix.com and aijentix.ai (the “Site”), and to enquiries and communications you have with us.
Aijentix is an Australian AI company based in Brisbane, Queensland. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using the Site or contacting us, you acknowledge this Policy.
1. What personal information we collect
1.1 Information you give us
When you use the contact form, email us, book a demo or otherwise contact us, we collect the information you choose to provide. This usually includes your name, email address and the content of your message. It may also include your organisation, role and phone number if you include them.
1.2 Technical information
When you visit the Site, our hosting and content delivery providers automatically record standard technical information to deliver and protect the Site. This can include your IP address, browser type, device type, the pages requested, referring address and the date and time of the request. We do not use this information to identify you personally.
1.3 Business relationships
If you are a client, supplier or partner, we collect the contact and business details we need to manage that relationship, such as names, work email addresses, phone numbers, invoices and correspondence.
1.4 Information we do not seek
We do not ask for sensitive information (such as health information or information about racial or ethnic origin) through the Site. Please do not include it in messages to us.
2. Why we collect and use personal information
We collect, hold and use personal information to:
- respond to your enquiries and demo requests;
- provide, scope and support our services, including AI strategy, AI architecture and engineering, AI Agents, Vision AI, AI compliance and Agent Ops;
- manage our relationships with clients, partners and suppliers;
- operate, secure and improve the Site;
- send you information about our services where you have asked for it or where the law allows. You can opt out at any time;
- meet our legal, accounting and regulatory obligations.
You may contact us without giving your name, using a pseudonym, where that is practical. However, we will need a way to reply to you.
3. AI solutions we deliver for clients
Some of our services, such as Vision AI, intelligent monitoring and AI Agents, may process images, video, documents or other data supplied by or collected for our clients. In those engagements:
- we act on our client’s instructions and under a written agreement that sets out how that data is handled, stored and deleted;
- the client is responsible for having a lawful basis for collecting the data and for any notices required for people in monitored areas;
- we design our solutions to use the minimum data needed, and we support privacy measures such as on-site (edge) processing, access controls and retention limits where appropriate;
- we do not use client data to train models for other clients or for our own purposes unless the client has agreed in writing.
If you have a question about data processed through a solution we operate for an organisation, please contact that organisation first. You can also contact us using the details in section 9.
4. Sharing and overseas disclosure
We do not sell personal information. We share it only as described in this Policy:
- Service providers that help us run our business, including website hosting and content delivery (Vercel), our contact form service (FormSubmit), email and productivity tools (Microsoft 365), web fonts (Google Fonts) and professional advisers such as accountants and lawyers. They may only use the information to provide services to us.
- Technology partners, such as AI model or cloud providers, where needed to deliver a service you or your organisation has engaged us for, and under the relevant agreement.
- Legal requirements: where required or authorised by law, or to protect our rights, property or safety.
- Business changes: to a successor if our business is reorganised, merged or sold, subject to this Policy.
Some of these providers store or process information outside Australia, including in the United States and other countries where they operate. When we disclose personal information overseas, we take reasonable steps to make sure the recipient handles it consistently with the APPs.
5. How we protect and retain information
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include encrypted connections (HTTPS), access controls, reputable service providers and limiting access to people who need it.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we experience a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
We keep personal information only for as long as we need it for the purposes in this Policy, or as required by law. After that, we take reasonable steps to destroy or de-identify it.
6. Cookies and tracking
The Site does not use advertising cookies, analytics trackers or tracking pixels, and it does not set cookies of its own. Our hosting provider may use strictly necessary technical measures to deliver and secure the Site. When the Site loads fonts from Google Fonts, Google receives your IP address and browser details in order to serve them.
If we add analytics or similar tools in the future, we will update this Policy first.
7. Your rights
You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date or incomplete. We will respond within a reasonable time, usually within 30 days. We may need to verify your identity first. If we refuse a request, we will tell you why and how to complain.
You can also ask us to stop sending you marketing communications at any time.
8. Complaints
If you have a concern about how we have handled your personal information, please contact us first using the details below. We will acknowledge your complaint and aim to resolve it within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.
